Job Description
Reporting to – Manager – Tracks & Property
The main purpose of the role is to support the busy Track Control department through various administration and hands-on tasks, ensuring customer receive a safe, efficient and excellent customer service when they work on the UTAC Millbrook tracks.
Roles and responsibilities
- Administration relating to the running of a small but busy department, including –
- Invoice preparation.
- Organise information: Maintain and organise both digital and paper files and records.
- Manage communications: Answer phones, manage emails, and greet visitors.
- Handle scheduling: Organize and manage calendars, schedule appointments and meetings, and book rooms.
- Coordinate projects: Assist with project management by tracking deadlines and facilitating communication.
- Assisting with various customer interactions
- Assisting with the preparation of quotations
Profile Needed
Qualifications
- Good general level of education (GCSE level or equivalent in English and Maths)
- First Aid qualification would be an advantage
Experience
- Experience in administrative role
- Experience in delivering excellent customer service
Skills
- Organizational skills: Exceptional ability to keep things tidy and in order.
- Communication: Strong written and verbal communication skills.
- Computer proficiency: Knowledge of MS office software, data entry, and various applications.
- Time management: Efficiently handle multiple tasks and meet deadlines.
- Problem-solving: Ability to resolve issues as they arise.
- Adaptability: Flexibility to handle changing priorities and situations.
- Attention to detail: A keen eye for accuracy in all tasks.
- Confident driving skills, with full Category B (manual cars).
- Maintain the highest level of customer confidentiality.

- Full UK driving licence & own transport (UTAC Millbrook is not easily assessable
via public transport) - Willing to undergo a Criminal Disclosure check
